This position is responsible for planning, overseeing and coordinating execution of all TARC events. Works closely with volunteers to build relationships and create a positive community of advocates. Assists with overall marketing to advance TARC’s mission of providing service, support and advocacy for persons with intellectual and developmental disabilities.

JOB OBJECTIVE: Oversee and coordinate execution of all TARC events. Work closely with volunteers, building relationships and creating a positive community of advocates. Assist with overall marketing to further TARC’s mission of providing service, support and advocacy for persons with intellectual and developmental disabilities.
RESPONSIBILITIES:
I. EVENTS
Plan, organize and coordinate logistics required for pre-event activities, events and post-event duties (e.g., Winter Wonderland and Annual Benefit Golf Tournament).
Conceptualize event(s) and plan event logistics with timelines and responsibilities identified prior to the opening of the event.
Oversee committee meetings related to special events and assist with planning and implementation of event promotion.
Maintain comprehensive documentation of all materials and activities related to the successful implementation of TARC’s Special Events and generate needed reports.
Complete follow-up activities related to the event, including sponsor recognition.
Support TARC’s Employee Engagement committee with Annual Awards and other events.
Promote and develop media announcements for special events and activities within TARC’s programs and services.
Meet with Division Directors to determine the list of events and activities to be promoted.
Manage Development database to ensure accurate records of all donations; prepare correspondence for donations and reports as needed.
II. VOLUNTEERS
Recruit, screen, train, coordinate, and recognize volunteers for Special Events and Programs.
Develop and maintain a database of volunteers; provide duties and expectations to volunteers onsite and at events.
Coordinate approximately 400 volunteers for special events annually.
Facilitate and oversee volunteer events (e.g., United Way’s Nancy Perry Day of Caring).
Regularly update volunteer opportunities on external listing sites, including United Way’s volunteer database.
III. MARKETING
Assist with the overall marketing of TARC.
Create, develop and manage content for the organization’s social media and web presence.
Collaborate with the Development Director on design, production, and distribution of printed materials for donor/sponsor/participant solicitations (e.g., TARC Annual Report, Annual Campaign, Newsletter).
Assist with preparation and distribution of organizational news releases; be available for presentations and tours as needed.
Assist the Development Director with keeping TARC’s website information current and reflective of TARC’s mission, services and opportunities.
Ensure all TARC activities are publicized on local and regional calendars through TV, radio, and print.
Assist with community awareness training through speaking engagements, vendor and informational fairs, and public forums for events and volunteers.
Represent TARC by participating in community organizations focused on promoting and enhancing area events.
IV. OTHER DUTIES AS ASSIGNED
Qualifications & Requirements
EDUCATION: Bachelor’s degree or requisite experience in Events and/or Volunteer Coordination, Public Relations and/or Marketing, Mass Media or related field.
TRAINING REQUIREMENTS: As outlined in TARC Policy 03-014 Staff Development
WORKING CONDITIONS AND PHYSICAL EFFORT: Work is normally performed in the community with business personnel, at event locations, with partners and in an office environment. Routine event responsibilities include frequent physical activity; must be able to lift up to 40 lbs.
OTHER REQUIREMENTS: Must have and maintain a valid Kansas driver’s license; maintain eligibility for TARC’s standard insurance policy; must be available evenings and/or weekends for event demands; understanding of and commitment to TARC’s mission; ability to fulfill job requirements in a timely manner; ability to stay current with trends in event strategy and bring energy, creativity and community relations expertise; must be a team player who can work with diverse groups and be a self-starter.
